IT Portfolio & Project Administrator
This position reports to the Director of IT Business Services in the IT Division. Individual will
provide oversight and management for all portfolio level projects including the strategic
direction and planning for the portfolios. Support portfolio managers who use the Project
Management Information System to track projects and tasks by managing the system and
training users on how to keep accurate historical records.
Provide information to the VP in a dashboard format as to the level of completion on projects as listed in the system. This includes providing the rubric for projects to be prioritized and targeted if danger of missing deadlines exist. Individual will liaison with project owners on the process used for starting projects and submitting them to the portfolio for review as well as coordinating the completion and schedule for projects, creating design and scope documents, gathering the project team, creating the
schedule and making assignments in coordination with team manager.
Manage the relationships between project owners and programmers to ensure projects finish on time and within budget. Individual will maintain and oversee the critical risk factors of projects, contributing all documentation to the document library for historical reference. Assist project managers in
identifying relevant artifacts and adapting templates to fit the projects. Responsible for Product
management, ensuring every product has an identified owner, all owners understand their roles
and products are represented/governed by a portfolio.
This include the design and planning for the product life cycle used by product owners and portfolio chairs when introducing new products to campus and coordinating the service level agreements with the Policy and Planning Administrator for submission into the IT Services catalog; working closely with IT staff when products are purchased and subsequently evaluated for effectiveness at all steps of the product life cycle.
Bachelor’s degree from an accredited institution with coursework in project methodologies or
equivalent experience in a project management related field. Equivalent experience should be full-time work with a direct project management focus.
2+ years experience in an IT role with exposure to a variety of technologies and applications 3
years experience in programming and maintaining project management systems
3+ years experience managing IT projects
1+ years experience managing technology systems with experience providing training,
prioritizing and responding to help requests, creating data standards and designing reports
Years of experience may overlap if responsibilities are clearly defined and roles validated. (Must
be full time experience equivalent)
Experience designing and developing critical plans that document processes in portfolio
management Experience developing detailed training manuals
Experience giving presentations to large public audiences and/or internal groups
Experience managing and facilitating meetings.
Seeking applicants with the following:
– Preference given for ITIL Foundations and Project Management certifications
- Ability to communicate with engineers and developers on technical topics and produce written
notes of decisions made and assignments given – Ability to direct project and portfolio planning
meetings and gather requirements from non-technical personnel
- Ability to lead non-technical personnel in testing a system, including the ability to document
issues, troubleshoot issues, track issue resolutions and write knowledge articles
- An understanding of database structures, data presentation and reporting (SQL knowledge
- Ability to enter data quickly and accurately
- Ability to synthesize input from various sources to create meaningful charts, calendars and
- Ability to disseminate information through web pages for external users
- Experience in managing information about products in a lifecycle process that are portfolio
- Excellent verbal and written communication skills
- Interpersonal skills necessary to work in a team-oriented environment
